Refund Policy

This Refund Policy forms part of the Terms and Conditions governing all engagements between Gallivant Ventures LLP, trading as Qualified Deals, and its clients. Defined terms used here have the same meaning as in the Terms and Conditions.


1. Payment Structure and When Refunds Apply

All Pilot and Growth (one-time) projects follow a 50/50 payment structure: 50% on Scope Document confirmation, 50% on delivery. Scale subscriptions are invoiced monthly in advance. Refunds are governed as follows:

  • Pilot and Growth — project not commenced: If Qualified Deals has not begun research work within 5 business days of receiving the upfront payment, and the Client requests cancellation, we will refund the full upfront payment within 15 days.
  • Pilot and Growth — project in progress: If we are unable to complete delivery due to circumstances on our side (including force majeure termination under Section 11 of the Terms and Conditions), we will refund the upfront payment pro-rata for undelivered work within 15 days of written termination notice.
  • Pilot and Growth — delivery completed: No refund applies once the deliverable has been transmitted to the Client. The Bounce Replacement Guarantee and Quality Dispute Window under Sections 3 of the Terms and Conditions are the applicable remedies post-delivery.
  • Scale subscriptions — within minimum term: Scale subscriptions carry a 3-month minimum commitment. Cancellation before the minimum term is complete does not entitle the Client to a refund of fees already invoiced or paid for the minimum term.
  • Scale subscriptions — after minimum term: With 30 days’ written notice, the Client may cancel from the next billing cycle. Fees already paid for the current cycle are non-refundable; no further invoices are raised after the notice period expires.
  • Add-on services (Database Hygiene, Market Research, Campaign Starter Pack): Same 50/50 structure as Pilot/Growth. Refund terms as above apply.

2. Non-Delivery

Non-delivery is defined as failure to transmit a deliverable that meets the minimum scope defined in the Scope Document within 150% of the agreed turnaround time, where the delay is caused entirely by factors within our control. Partial delivery (e.g., 600 of 750 leads delivered) is not non-delivery; partial delivery is addressed through the Quality Dispute Window and Bounce Replacement Guarantee.

Where non-delivery is confirmed, we will first attempt to complete delivery within a mutually agreed extended timeline. If we cannot complete delivery and the Client does not wish to wait, the refund provisions in Section 1 above apply.


3. Excluded Circumstances

The following do not give rise to a refund:

  • Deliveries that meet the Scope Document specification but do not produce the conversion, reply, or revenue results the Client expected.
  • Delays caused by the Client failing to confirm the Scope Document, provide required ICP inputs, or approve a project brief in time.
  • Data quality issues attributable to ICP criteria that were changed by the Client after the Scope Document was confirmed.
  • Deliveries disputed more than 15 days after transmission.
  • Campaigns blocked or flagged by third-party email platforms due to the Client’s sender reputation, SPF/DKIM/DMARC configuration, or content policies.

4. How to Request a Refund

Refund requests must be submitted in writing to [email protected] with the subject line “Refund Request — [Project Name].” Include the Scope Document reference, the date of upfront payment, and a brief description of the grounds for the request. We will acknowledge receipt within 2 business days and respond with a determination within 10 business days.
