Database hygiene FAQ: what teams ask before they send us a file.

How is this different from running my list through NeverBounce or ZeroBounce?

SMTP verification tools tell you whether an email can receive mail. They don’t tell you whether the person still works there, whether they’ve been promoted out of your buyer persona, or whether the company has been acquired. We do all three — plus we replace stale records with current ones at the same company, not just delete them. You can run NeverBounce after us if you want — but you shouldn’t need to.

How do I send you my data securely?

You upload to a project-specific Google Drive or Dropbox folder we create for you, with shared access limited to the named analyst on your project. We don’t use email attachments for client data. After delivery, your file is retained for 30 days for revision support, then permanently deleted from our systems. NDAs available on request before the file is shared.

What if 60% of my list turns out to be bad — am I paying ₹12 for records you just deleted?

You’re paying for the diagnosis, not just the successful fixes. Even records flagged for removal go through SMTP verification, LinkedIn employment check, and company-status verification before they’re flagged. That work has cost — and it’s also valuable: a clean CRM with 400 verified records is far more useful than a dirty CRM with 1,000 unknown ones. The diagnostic report tells you the breakdown before delivery, so you can also choose whether to scope additional replacement work.

Will cleaning the list immediately restore my sender reputation?

Cleaning the list stops future damage. It doesn’t undo past damage — if your domain is already throttled by Gmail or Outlook, you’ll still need a warm-up period (2–4 weeks of gradual volume ramp on clean data) to recover deliverability. The clean list is the precondition for warm-up, not a shortcut around it.

What format should I send my data in?

CSV or XLS works. Direct exports from HubSpot, Salesforce, Pipedrive, Apollo, or any standard CRM are fine — we map your columns during the Project Brief. We need at minimum: full name, company, email address. Additional fields (title, LinkedIn URL, phone, country) speed up verification and improve enrichment quality. We never need passwords, API keys, or live CRM access.
